B. Make 7th area for interest groups
C. Approve plan of action.
Phase II: Take approved structure to the Board and Hilary for support.
A. Include plan of action and seek advice from Board
Phase III: Take approved and Board supported plan to congregation (education phase).
A. Goal will be to educate the community about the new structure so that they can utilize it.
B. Copy structural plan and distribute to congregants; include instructions for committees to select representatives

C. Contact all committees to send representatives
D. Set up method for committees and congregants to submit questions about the new program council structure
- Include introduction paragraph describing the intent of program council and how it will work.
E. Instruct committees to submit:
- Name of committee
- Committee chair
- Committee contacts, if different from Chair
- Current members (rough estimate)
F. Set timeline for committee responses
G. Contact committees that haven't replied by deadline
H. Hold Congregational Meeting for explanation and open question time
- Allow at least 1 month for representatives to be selected
I. Chair-elect convenes meeting of representatives for selection of delegates for each program area.
- Delegates will make final decisions for council meeting times
Timeline:
May 26 - Approve Program Council structure (Phase I) & agree on date for Congregational meeting
June 3- Schedule meetings with Board & Hilary (Phase II)
June 10 - Copy plan & write committee questionnaire
June 12 - Distribute at church service (announcement)
June 19 - Deadline for committee questionnaire
June 23- Contact no-response committees
June 23 - Discuss strategy for Congregational meeting
July 9 - Congregational meeting (with representative sign-up forms)
TBA - Optional evening question-and-answer meeting
August 7 - Turn in representatives' names
August 25 - Program Council Board meeting (selection of delegates)
